What are Assignments?
Assignments let you give specific courses or tracks to specific people, set a due date if you want one, and see who has finished. You assign from the course or track page in a few clicks. Your learners get an email and see the item in their own list. When they finish the content, the assignment completes on its own.
Assignments is currently in beta. If you'd like it switched on for your organization, contact your Customer Success team.
Before you startYou'll need to be an admin of your Hotshot organization to assign content. Learners can't assign content to themselves or to colleagues.
You can assign any course or track in the Hotshot library.
How to assign content
Step 1: Find the course or track
Go to the page for the course or track you want to assign and click Assign…. If you're an admin for more than one organization, choose the organization first.
Step 2: Choose your people and a due date
Pick one person or as many as you need. Everyone you assign in one go gets the same due date. The due date is optional. Without one, the assignment never shows as overdue.
Step 3: Click Assign
Each person gets an email with a link to the content and the due date, if you set one.
Step 4: Track progress
Open the Assignments tab in your organization dashboard. You'll see every assignment with the person, the content, the due date, and one of three statuses:
- Pending: not finished yet, and not past the due date.
- Overdue: not finished, and the due date has passed.
- Completed: the person has finished the content.
You can filter the list by status or by person.
Step 5: Make changes if you need to
From the row for any assignment, you can change the due date, mark the assignment complete, or delete it. You can also see who created the assignment and when.
What your learners see
When someone has an assignment, an Assignments link appears in their top navigation with a count of open items. Their open assignments also show on the library home page. Their My Assignments page lists everything they have to do, soonest due first, along with what they've recently completed. Overdue items are marked in red.
They don't need to do anything to close an assignment. When they finish the course, or every course in the track, it's marked complete.
Good to know- Learners get one email. The email goes out when you create the assignment.
- Changes are silent. If you change a due date or delete an assignment, the learner isn't emailed. They'll see the new date, or the item will drop off their list.
- One assignment per person per course or track. If you assign the same thing to someone again, nothing changes. Their original due date stays and they don't get another email.
- Only active members are listed. You can assign content only to active members of your organization.
- Finished but still Pending? Mark the assignment complete from its row, then let your Customer Success team know so we can look into it.
